1. Who we are
Rugby Local is operated by Rugby Local Ltd, a company registered in England and Wales under company number 17491982. Our registered office is Chesnut House, 24 North Street, Rugby, CV21 2AG, United Kingdom.
For the purposes of UK data protection law, Rugby Local Ltd is the controller of the personal data described in this policy unless we tell you otherwise.
2. What personal data we collect
The information we collect depends on how you use Rugby Local. It may include:
- Launch and marketing details: first name, email address, postcode, interests, marketing preferences and the date and method of your consent.
- Submission details: your name, email address, telephone number, message and information connected with a business, event or community organisation you submit.
- Public listing information: names, public contact details, websites, social media links, locations, descriptions, event information and other details intended for publication.
- Account information: information used to create, secure and manage a Rugby Local account, including your email address, basic profile information and the businesses or community groups you choose to save as favourites.
- Correspondence: messages you send to us and records of our responses.
- Technical and security information: information such as IP address, browser or device information, request logs and security records that may be processed when you access our website or app.
Please do not send us unnecessary sensitive or special category personal data through ordinary forms or messages.
3. Where we get personal data from
We usually collect personal data directly from you when you register, create an account, submit a listing or contact us.
We may also use information from publicly available sources where it is appropriate for a local directory or events service. This may include official organisation websites, public event pages, public business websites, social media pages or other publicly accessible sources. Where information identifies an individual rather than only an organisation, we treat it as personal data and handle it in accordance with this policy.
4. How and why we use your data
UK data protection law requires us to have a lawful basis for using personal data. Depending on the activity, we may rely on:
- Consent, particularly where you actively opt in to receive Rugby Local marketing or launch emails. You can withdraw consent at any time.
- Legitimate interests, where we need to operate and improve Rugby Local, review submissions, maintain accurate local listings, prevent abuse, secure our services, respond to enquiries or understand how the service is used, provided those interests are not overridden by your rights and interests.
- Contract, where processing is necessary to provide an account, feature or service that you have requested under applicable terms.
- Legal obligation, where we need to process information to comply with the law, regulatory requirements or lawful requests.
We may use personal data to operate the website and app, manage the launch list, review and publish submissions, maintain the directory, communicate with users, moderate content, prevent fraud or misuse, secure our systems, investigate problems, improve Rugby Local and comply with legal obligations.
Where we rely on legitimate interests, you may have the right to object to that processing. You have an absolute right to object to direct marketing.
5. Launch and marketing emails
We will only send electronic marketing to individuals where we have a lawful basis to do so and, where required by the Privacy and Electronic Communications Regulations, valid consent.
When you choose to receive Rugby Local updates, you agree to receive relevant emails from Rugby Local about the service, new features and local updates. The box is not pre-ticked. You can withdraw your consent at any time by using an unsubscribe option in our emails or by contacting us.
Withdrawing consent does not affect the lawfulness of processing carried out before you withdrew it. We may keep a minimal suppression record so that we can respect your opt-out in future.
6. Public listings and submissions
Rugby Local is designed to publish information about local businesses, events, places and community organisations. Information clearly labelled as public, or information you submit for publication, may therefore appear publicly on Rugby Local.
Private contact details collected so that we can review or administer a submission are not intended to be displayed publicly unless you separately provide or identify those details as public information.
If you believe a listing contains inaccurate personal data or information that should not be published, contact us and we will review it.
8. International transfers
Some suppliers may process personal data in countries outside the United Kingdom. Where UK data protection law requires additional safeguards for an international transfer, we use an appropriate lawful mechanism, such as applicable UK adequacy regulations or approved contractual safeguards.
You can contact us if you want more information about the safeguards relevant to your personal data.
9. How long we keep personal data
We keep personal data only for as long as it is reasonably needed for the purpose for which it was collected, including to operate Rugby Local, maintain accurate records, deal with disputes, respect opt-outs and meet legal, accounting or regulatory requirements.
When deciding how long to keep information, we consider the nature of the data, why we hold it, whether you remain an active user or subscriber, whether a listing remains current, the risk associated with retaining it and any legal requirements that apply.
Where you unsubscribe from marketing, we will stop using your details for that marketing purpose and may retain limited information needed to record and respect your opt-out.
10. How we protect information
We use proportionate technical and organisational measures intended to protect personal data against unauthorised access, accidental loss, misuse, alteration or disclosure. No website, app or internet transmission can be guaranteed to be completely secure, so you should also take appropriate care when sharing information online.
12. Your data protection rights
Depending on the circumstances and the lawful basis we rely on, you may have rights to:
You will not normally have to pay to exercise your rights. We may need to ask for information to confirm your identity before acting on a request. Some rights are not absolute and exemptions may apply.
To exercise a right, email hello@rugbylocal.co.uk.
13. Complaints
If you are unhappy with how we have used your personal data, please contact us first so that we can try to resolve the issue.
You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection. You can find information about making a complaint at ico.org.uk.
14. Children
Rugby Local is a general local information service and is not designed to collect personal data from children under 13 through registration or submission forms. If you believe a child has provided personal data to us inappropriately, please contact us so that we can review and, where appropriate, delete it.
15. Automated decision-making
We do not currently make decisions about individuals solely by automated means where those decisions would produce legal or similarly significant effects.
16. Changes to this policy
We may update this policy as Rugby Local develops, including when new website or app features are introduced. The latest version will be published on this page and the date at the top will be updated.
